How to add the booking assistant to your website

A chat on your website and act pages that answers visitors and fills in your booking form.

Up to date as of GigTools version 2.1.52

The booking assistant is a chat button, Ask about booking, on your organization website (and your own domain) and on your acts' pages. Visitors ask things like "Who's good for a corporate holiday party?" or "Is anyone free on March 14?" and it answers, then hands them your booking form, already filled in. It's included with the Pro and Agency plans.

1. Switch it on

  1. Owners and admins: open Settings › Booking website and click the Booking assistant tab.
  2. Tick Show the booking assistant.
  3. Add a Greeting if you like (the first thing it says), or leave it blank for the standard one.
  4. Click Save. The button appears on your site and act pages.

2. What it knows, and what it never shares

It answers only from what's already public on your site: your acts, their bios, types and reviews, public shows, packaged shows, and prices you've chosen to show ("From $…"). It can check whether a date looks open for an act: it only says "looks open" or "already booked", never where or why, and that you'll confirm.

It never shares fees, contacts, notes or other gigs' details, never promises a price or a date, and only talks about booking you and your acts.

3. Booking requests

When a visitor wants to book, it shows Open the booking form with the date, city, type of event, audience and acts filled in. The visitor checks it, adds their contact details and sends it. It lands in Inquiries like any booking request. Nothing is booked until you reply.

4. Limits

  • Visitors confirm they're human before their first question, and each visitor can ask a limited number of questions a day.
  • Each organization has a monthly allowance. The tab shows how much is used this month, plus how many answers and booking forms it gave in the last 30 days. When the allowance is used up, the chat hides until next month and visitors use the booking form as usual.

Answers come from an AI and can be wrong, so the chat says so. Keep your acts' bios, shows and prices up to date: that's what it uses.
