How to log calls, emails and meetings
Keep a record of every conversation on the contact, the gig, and the client or venue.
Up to date as of GigTools version 2.1.03
The Communications card keeps a record of your conversations: calls, emails, texts, social messages and meetings. You'll find it on every contact's page, every gig's page, and every client or venue page.
1. Log a conversation
- Open the contact (People › Contacts & acts), the gig, or the client or venue (People › Clients & venues).
- In the Communications card, click the log button:
- On a gig or company page, choose who it was with in With. On a gig, the people on that gig are listed first.
- Pick How (Phone call, Email, Text, Message, In person or Other) and When.
- Write a short Summary, like "Talked about a March date; she'll check with the board". Add Details if you like.
- On a contact or company page, you can link it to a gig in Gig. Leave it on Not about a gig if it isn't. Entries logged from a gig page are linked to that gig.
- Choose a Follow-up, then click Add to log.
See How to track follow-ups for the follow-up part.
2. Read the log
Entries are newest first. Click an entry to see all its details. On a gig or company page, each entry shows who it was with; click the name to open their log. A company's log covers everyone who works there.
Click Edit to change an entry, or Remove to delete it.
3. What shows up on its own
Entries GigTools adds, and inquiries, can't be edited here.
Logging a phone call or in-person conversation with someone who got a campaign email in the last 60 days (or an entry that starts with "They replied") counts as their reply, and stops their follow-ups. Emails and texts you log don't count, since they're usually yours going out. See How unsubscribes, bounces and replies work.
A gig page also has an Emails & texts card listing every email and text GigTools sent about that gig, such as reminders to acts.
