Why your acts should be on GigTools (and how to invite them)

What an act gets from a free GigTools account linked to you, and the one-click ways to invite them.

Up to date as of GigTools version 2.1.132

Acts don't need GigTools to work with you: offers, confirmations and reminders all work by email. But when an act has their own free GigTools account linked to your contact for them, both sides get less busywork. This page is written so you can forward it to an act.

What the act gets

  • Your calendar, always accurate. Accept a gig from your booker and it can go straight into your calendar with the date, time, place and your fee. If they move the time, your calendar reflects it. (The booker chooses what the copy carries; the address and logistics, not their client's details.)
  • Answer offers in one click. Offers show up in your GigTools; accept there and the booker sees it instantly. Reminders, call time and directions follow.
  • Your profile stays current everywhere. Update your bio, headshot, reel and credits once; every booker you link gets the new version of your profile.
  • Avails without the back-and-forth. Your real booked dates, from every booker, feed your {avails} and {unavails}, so "what's open in March?" takes seconds.
  • Get paid and keep records. Your fee per gig, what's been paid, mileage, invoices to the booker, and a year-end 1099 view.
  • It's free to start (Lite), and the gigs your bookers send you count there too. Your account is yours: bookers see only what you choose to share, and you can unlink at any time.

What you get as the booker

  • Fewer no-shows and wrong-date mix-ups, and fewer "can you resend the details?" emails.
  • Faster confirmations: offers answered in the app, not buried in an inbox.
  • Accurate avails from the act's whole calendar, not just the gigs you booked.
  • Profile updates arrive on their own, so the promo kit is always current.
  • Their public calendar can list your shows.

How to invite acts

  • Contacts & acts › Acts and the Roster show 4 of 12 acts use GigTools with an Invite the other 8 acts button (acts with an email address).
  • On a gig, each act who isn't on GigTools has an Invite to GigTools button next to Send offer.
  • On a contact's Connections tab: Send invitation.
  • The dashboard reminds you when acts have been answering offers by email: N of your acts answered offers by email, with one button to invite exactly those acts. ✕ hides it for a month.

Acts who already have a GigTools account with that email get a notice (and its email); everyone else gets an email with a Create your free GigTools account button. Signing up through it links their act to you and adds any gig they've already accepted. Each act can be invited once a day. When an act signs up from your invitation, you earn the usual referral credit (see How referrals work).

Offer emails to acts who aren't linked also mention that, after accepting, they can add the gig to their own GigTools calendar; the confirmation page offers the free account right there.
