How to clean up duplicates and gaps

Merge duplicate clients and venues, hide ones nobody uses, and fix gigs with no fee or no client.

Up to date as of GigTools version 2.1.03

Clean up finds gaps in your records so your totals, reports and pickers stay accurate. Owners and admins find it under Settings at the bottom of the menu.

Each section is folded shut. The number on the right shows how many items are waiting (green means nothing to do). Click a section to open it.

Gigs without a fee

Booked or completed gigs with no fee count as $0 in your totals.

  1. Type the booking fee next to a gig.
  2. Click Save. It's added as a Booking fee line on the gig.

The newest gigs show first. More appear as you fill these in.

Gigs without a client

Booked or completed gigs with no client. Click one to open the gig and add the client.

Duplicate clients & venues

Companies with the same name, entered more than once.

  1. For each set, pick the one to keep. GigTools suggests the one with the most links (gigs and contacts).
  2. Click Keep the selected one and merge.

Merging moves every gig, contact and note to the one you keep and fills in its missing details.

Clients & venues nobody uses

Companies that aren't on any gig and have no contacts.

  1. Tick the ones you don't need, or click Tick all.
  2. Click Hide … selected.

Hiding shortens your lists and pickers. Nothing is erased.

Duplicate people are caught as you add them: GigTools warns you when a new contact has the same name, email or phone as someone already there.

Clean up is on every plan except Lite. The duplicate and unused sections are for owners and admins only.
