How territories and ownership work
Give each act, client and inquiry an owner, give agents states to cover, see just yours with Mine, and hand everything over when someone leaves.
Up to date as of GigTools version 2.1.142
On the Agency plan, each act, contact, client and venue can have an owner (someone on your team), and each agent can have a territory (the states they cover). New leads go to the right person on their own.
1. Set owners
2. Give agents their states
- Open Settings › Organization and click the Team tab.
- Under Agents and territories, type each person's States as two-letter codes or names, like AZ, NV, New Mexico, and click Save.
A state can only belong to one person.
3. How new work is routed
Agents can change gigs they're assigned to (see How team roles work). You can always change the assignment on the gig, next to Assigned to.
4. See just yours
Click Mine on Contacts & acts, Clients & venues or Inquiries to show only what you own or what's assigned to you. On Contacts it's also in Filters as Only ones I own.
5. When someone leaves
On the Team tab, each person shows what they own. Click Reassign everything to…, choose who takes over and click Move it all. It moves their acts, contacts, clients and venues, their states, their lead and booked gigs, and their new or replied inquiries. Completed gigs stay theirs, so their commission history stays right. Then remove them from the team.
