How to plan a tour and fill dates near a gig

Find clients and venues near a city on a map, see who's booked you before, and start a campaign to them.

Up to date as of GigTools version 2.1.70

Going to be in Denver for a week? Plan a tour shows every client and venue near a place, so you can fill the days around the gigs you have.

1. Find who's nearby

  1. Open Clients & venues and click Plan a tour. Or, on a booked gig or lead, click Nearby at the top: it searches within 100 miles of the gig's city, 3 days either side.
  2. Under Near, type a city with its state (Denver, CO) or a ZIP code. Pick how far (Within 10 to 200 miles).
  3. Add From and To dates if you like, then click Find.

2. Read the map and list

  • Green dots have booked you before. Grey dots never have. Purple dots are your gigs (booked or leads) in those dates. Click a dot for its name, distance and gig history.
  • The buttons above the map show Everyone, Booked before, Never booked or Venues, with how many of each.
  • With dates, Your gigs lists what's already on the calendar then, and how far each is from the place you searched.
  • The list below the map runs closest first: city, main contact, distance, gigs with them, plus Pitch again or Didn't rebook for clients due for their yearly event.

Dots sit at the middle of the ZIP code (or the city, when there's no ZIP), so distances are close, not exact. Clients and venues with no city or ZIP can't be placed; the line under the map says how many, with a link to fill them in.

3. Reach out

On the Pro and Agency plans, owners and admins see Reach out to these:

  • Check the List name, like Tour: Denver, CO (Mon, Mar 2 – Sun, Mar 8).
  • Start a campaign to them makes the contact list and a draft campaign to it, then opens the campaign. Pick the email (put {avails} in it to list your open dates) and send when you're ready. See How to set up a campaign.
  • Just make a contact list makes only the list. See How to make a contact list or smart list.

Each company's main contact goes on the list, or everyone there when it has no main contact. People who've left a company aren't added. The list follows the button you're on, like Booked before.
