How to plan and run a tour

Group a run of gigs into a tour: the route with drive times, open dates to fill, routing warnings and what the whole run makes.

Up to date as of GigTools version 2.1.137

A tour is a run of gigs across cities and dates, planned as one, like Dana · Texas, March. Each gig is still its own gig. The tour shows them together: the route, the drive between stops, the dates still open, and the money for the whole run.

Find tours under Sell › Tours. Owners, admins and agents can set them up.

1. Start a tour

  • Click New tour on the Tours page. Or open a gig, find its Schedule card, click Part of a tour? and Start a tour from this gig: that gig becomes the first stop.
  • Give it a name, the act, and the first and last date. Leave the dates empty and the tour runs from its first gig to its last.
  • Add a Home base (a ZIP code, or a city and state like Phoenix, AZ) so the route starts and ends there.

2. Add the gigs

  • On the tour page, Add gigs you already have lists gigs within two weeks of the tour's dates that aren't on a tour. Tick them and click Add to the tour.
  • From a gig: Part of a tour? on its Schedule card, pick the tour and click Add.
  • Days inside the tour's dates with no gig show on the route as Open. Click Add a gig on one to make a new gig on that date, already on the tour.

A gig belongs to one tour at most. Click × on a stop, or Take it out of the tour on the gig, to take it off. Deleting a tour never deletes its gigs.

3. Read the route

  • Stops run in date order, each with its city, venue, fee and step. Above each stop: about how many miles and hours of driving from the stop before (or from home).
  • The map draws the route: numbered dots in order, green when booked, purple when not; home is the square.
  • Miles and drive times are estimates from ZIP code and city centers, for planning. A gig needs a ZIP code, or a city and state (on the gig or its venue), to go on the route.

4. Routing checks

GigTools flags problems right on the stop:

  • Out of line: a stop that sends you back and forth, with how many miles you'd save by playing it after the next one.
  • Tight: not enough time between the end of one night and the next show to drive it (counting an hour to load out and in, and sleep when it's overnight).
  • Most miles a day and A day off every … show days: set these under Tour settings and GigTools warns when a hop or a run of shows goes over.

5. Money as you plan

The Money card adds up the whole run in two columns: Booked so far, and If everything books (leads included):

  • Fees, and each gig's own costs (acts, travel and other money lines).
  • Driving: the route's miles times your cost per mile. Hotels: one for each night of the run spent more than 75 miles from home, times your hotel cost. Set both under Tour settings.
  • Tour costs: costs for the whole run rather than one gig, like a van, per diems or a tour manager. Add them on the Money card.
  • Net for the run, plus what's been paid and what's still due.

6. Find a tour's gigs

  • Every gig on a tour shows Part of the tour at the top, with its stop number and arrows to the stops before and after.
  • On the Gigs list, click Filters and pick a Tour, or click In the gigs list on the tour page.
