How to ask several acts who's free

Email a group of acts at once to ask if they're free on a date, and see their answers in one place.

Up to date as of GigTools version 2.1.74

Before you book, find out who can do the date. A Who's free? check emails each act a private link to answer Yes, I'm free, Maybe or Not free. It isn't a booking; nothing goes on their calendar.

1. Ask

  1. Open People › Roster and click Who's free? (or click a date at the top of the grid).
  2. Pick the Date, and Through for a few days (up to a month). Click Check these dates to see what each act already has then.
  3. Under Which acts, acts with nothing on start ticked. Each act shows what it already has on those days, like Booked: Smith wedding or Blocked off. Acts with No email can't be asked. Use the act type list, Tick everyone with nothing on or Clear.
  4. Add a Time and a Note if you like, then click Email them.

A band, duo or troupe with no email of its own is asked through its lead performer.

2. See the answers

The check's page lists everyone, free first, with when they were emailed, opened the email or answered, and any note they left. Answers also show on the Roster.

  • Click Start a gig beside an act to start a new gig on that date with them on it.
  • Heard back by phone or text? Click Free, Maybe or Not free on their row.
  • Open Ask more acts to email more.
  • Close this check stops the links taking answers. Answers stay on the Roster.

Who's free? is on the Member, Pro and Agency plans, for owners, admins and agents. Each email is listed in Sent messages.
