How to book a college block

Route an act through a region in a date window: each school picks a date from its own link, and the fee drops for everyone as more schools book.

Up to date as of GigTools version 2.1.156

On the Agency plan, a college block lets schools book an act that's touring their region, at a price that gets better for everyone as more schools join (the way blocks work at NACA and APCA).

Make the block

  1. Go to Roster › College blocks.
  2. Choose the act, name the block (Spring college run), the region, the first and last dates, the days of the week the act can play, the show time and set length, and an answer-by date if you want one.
  3. Set the prices. Each line is the fee once that many schools have booked: for example 1 school $2,500, 3 or more $2,000, 5 or more $1,750.
  4. Add a note for the schools if you like (what's included, the set) and click Make the block.

Add schools and send the links

  • Under Schools, pick a school from your clients (its main contact's email is used) or type a name and email, and click Add.
  • Email the links sends every school that hasn't booked its own link, with the prices and your note. Or use Copy link and send it yourself.
  • Each row shows when the link was sent, opened and answered.

What schools see

The link shows the act (photo, bio, press kit and clip), the prices, how many schools have booked and what the fee drops to next, and the open dates. Dates another school took, or that the act already has a booked or held show, don't show. The school picks a date and confirms, or passes.

When a school books

  • GigTools makes the gig: booked, the act on it, the school as client and venue, the show time, and a booking fee line.
  • Every booked school's booking fee moves to the new price, so the more that book, the lower each one's fee.
  • You get a task to send the agreement.

Changes

  • Withdraw a booked school to cancel its gig. The others' fees are recalculated (they can go back up if the count drops below a price line).
  • Changing the prices under Settings and prices changes what every booked school pays.
  • Close the block stops new bookings; links show that it's closed.
