How to send a deal memo (offer) to a buyer

A one-page offer to the buyer: guarantee or percentage, deposit, radius clause and riders. They accept online; you countersign and the terms go on the gig.

Up to date as of GigTools version 2.1.141

A deal memo is the offer you send the buyer (the client or venue) before the agreement: the money, the deposit, a radius clause and the riders, on one page they accept online. It's on the Agency plan. (Offers to the *acts* are separate; see How to ask acts to confirm.)

1. Make the deal memo

  1. Open the gig. Click + Add to this gig › Deal memo (or scroll to the Deal memo card).
  2. Choose the deal:
    • Flat guarantee: one fee.
    • Percentage of the door: a share of ticket sales (gross or net).
    • Guarantee vs. percentage: whichever is more.
    • Guarantee plus percentage: the guarantee and a share of the door. Add the details in Backend details, like "after $3,000 in show costs".
  3. Add the deposit and when it's due, the balance terms, and Offer good until if you like.
  4. Tick Radius clause to add one: no other shows within so many miles, from so many days before to so many days after.
  5. Hospitality and Tech start from the headlining act's riders. Add Other terms (billing, merch, comps) and the buyer's name, email and company.
  6. Click Save deal memo.

2. Send it

Under the terms, click See what they see to preview the buyer's page, then Send to the buyer (their email is filled in), add a note if you like, and send. The card shows when it was sent and when they opened it. Until they accept you can still Change the terms; the link always shows the latest.

3. The buyer accepts

The buyer sees the offer on their own page, types their name and title, ticks the box and clicks Accept the offer, or clicks Decline and can add a note. Either way you get a task. Once accepted, the terms are locked as they were accepted; to change anything, Void this deal memo and make a new one.

4. Countersign and put the terms on the gig

  1. Click Countersign. Their page now shows it's agreed by both sides.
  2. Click Put the fee and deposit on the gig: the guarantee becomes the gig's Booking fee line and the deposit, with its due date, goes under Money.
  3. Make the agreement as usual. Agreement templates can use {deal.terms}, {deal.summary}, {deal.radius} and {deal.accepted}. See How to create and send agreements.

5. Radius checks

When a deal memo has a radius clause, GigTools warns on the gig page if the same act has another gig (lead or booked) inside the radius and the dates, and on that other gig too: Radius clause: another date is too close, with the miles and days. Offered (not yet accepted) clauses warn as well. Distances are from ZIP or city centers, so check with the buyer when it's close.
