How to challenge a 1st hold

On a 2nd hold, ask the 1st hold to confirm or release the date by a deadline; when the clock runs out, you move up.

Up to date as of GigTools version 2.1.140

When another client wants a date that someone else holds first, you can challenge the 1st hold: they get a deadline to confirm the date or let it go. It's the standard venue and agency flow, and it's on the Agency plan.

1. Challenge the 1st hold

  1. Open the lead that has the 2nd hold (or 3rd) on that date. Holds are set with Hold the date; see How to hold a date for a client.
  2. Click Challenge the 1st hold at the top. It only shows when another lead holds the same date first with the same act.
  3. Choose how long they have (48 hours unless you pick otherwise) and add a note if you like.
  4. Leave Email the 1st hold's client a link ticked to email them a private page where they click Yes, keep the date for us or We can let it go. Their email address comes from the 1st-hold gig's client contact; change it if needed.
  5. Click Challenge.

Whoever looks after the 1st-hold gig gets a task due at the deadline.

2. While it's open

  • On the 1st hold, the gig shows Your 1st hold is challenged with the deadline and how long is left. Click Confirm the date to keep it, or Release the hold to let it go. Booking the gig confirms it too.
  • On your 2nd hold, the gig shows You challenged the 1st hold and the deadline, whether their client has opened the link, and Withdraw the challenge.

3. How it ends

  • Confirmed (by the team, by booking the gig, or by their client on the link): the 1st hold keeps the date, and you get a task to offer your client another date.
  • Released (by the team, the client, marking the gig lost or canceled, or taking the hold off): the hold comes off, every hold behind it moves up, and your gig becomes the 1st hold with a task to book it.
  • No answer by the deadline: GigTools releases the 1st hold for you (it checks every 10 minutes) and both gigs get a task.
