How to settle a show with a settlement sheet

The night's settlement between the venue and the act: ticket tiers, taxes and fees, expenses with receipts, the deal, merch and splits, signed by both sides as a PDF.

Up to date as of GigTools version 2.1.144

A settlement sheet is the end-of-night agreement on the numbers between the venue (or promoter) and the act. It's on the Agency plan. For a simple percentage-of-the-door deal, see How to settle a door deal.

1. Start the sheet

On a booked gig, click + Add to this gig › Settlement sheet. It starts from what GigTools already knows: the accepted deal memo (deal, guarantee, percentage), the gig's ticket tiers, the venue, and the acts on the gig.

2. Fill in the night

  • The deal: Flat guarantee, Percentage, Guarantee vs. percentage (whichever is more) or Guarantee plus percentage, and whether the percentage is of the adjusted gross or the net (after expenses).
  • Ticket sales: each tier's price, tickets sold and comps.
  • Taxes and fees off the top: a percent of gross (sales tax), an amount per ticket (ticketing fee) or a flat amount.
  • Expenses: sound, security, ads and so on. Add receipts to the gig's Documents first, then pick each one under Receipt.
  • Merch and deposit: merch sales, the venue's cut and costs, and any deposit already paid.
  • Split between the acts when there's more than one.

The totals work out as you type: gross, adjusted gross, net, the act's payout, what's due tonight after the deposit, and what goes to the venue. Click Save settlement.

3. Get it signed

  1. Under Signatures, check the venue's and the act's emails, add a note if you like, and click Email it to sign. Or click Copy the links instead and send them yourself.
  2. Each side opens its own page, checks the numbers, types their name, ticks the box and clicks Sign the settlement. You get a task each time someone signs.
  3. Once both have signed, the numbers are locked. Changing the numbers after only one side signed clears the signature, so send it again.

Open the PDF (and Save the PDF on their pages) gives the signed settlement with both signatures.

4. Use it for the acts' pay

Click Use for the acts' pay: each act's share of the payout becomes their fee on the gig, so Act payouts and commission follow it. Leave Also put the payout on the gig's money ticked to add a Settlement line to the gig's money (remove any booking fee it replaces, so it isn't counted twice).
