How to record a representation agreement with an act

Keep each represented act's term, territory, exclusivity and commission in one place; its commission is used on their gigs, and you're reminded before it ends.

Up to date as of GigTools version 2.1.142

A representation agreement is what you and an act agreed: how long you represent them, where, whether it's exclusive, and your commission. It's on the Agency plan, for owners and admins.

1. Add the agreement

  1. Open the act and click the Connections tab. The Representation agreement card is under Representation.
  2. Fill in:
    • Starts, and either Term (months) or Ends. Leave both blank for an open-ended agreement. With a term and no end date, GigTools works out the end date.
    • Commission (%): your commission while the agreement is in force.
    • Exclusivity: Exclusive, Exclusive in the territory or Not exclusive.
    • Territory (like "Worldwide" or "AZ, NV, NM") and What's covered (like "Live dates, corporate").
    • Signed (the day it was signed) and Notes.
    • Renews automatically for another term, and Remind before it ends (days) (30 unless you change it).
  3. Click Add agreement.

The card shows the terms and In force, Ending soon, Starts later or Ended. Saving one also marks the act Represented (see How to invite acts to be represented).

2. Commission comes from the agreement

While an agreement is in force, its commission is the act's commission: on new gigs, in act payouts and on the act's commission statement. Each gig uses the agreement that covered its show date, so an old show keeps its old percent. A percent set on one gig still wins for that gig. The act's statement shows Representation agreement in force with a link back to it.

3. Reminders and renewals

  • Not auto-renewing: you get a task Representation ends … the set number of days before the end date. Click Open the agreement on the task.
  • Auto-renewing: the day after it ends, GigTools moves the end date forward by the term and gives you a task Representation renewed.

The task goes to the act's owner (see How territories and ownership work), else whoever added the agreement.

4. Change, renew on new terms, or end it

  • Change terms edits the agreement in force.
  • Add a new agreement (renewal on new terms) starts a new one the day after the current one ends.
  • End this agreement asks for the day it's Not covered from and why. Gigs from that day use the commission on the act's statement page.
  • Earlier agreements lists past ones.
