How to share your booking email with the team inbox
Forward your booking address to GigTools, then assign each email, leave notes for each other, reply, and keep it all on the client's history.
Up to date as of GigTools version 2.1.154
On the Agency plan, the whole team can work your booking email (booking@yourcompany.com) together in Team inbox, instead of one person's mailbox.
Turn it on
- Go to Team inbox in the menu (owners and admins set it up) and click Turn on the team inbox.
- Copy the private address it shows (it starts with inbox-).
- In Gmail, Outlook or your email host, forward your booking address to it. Gmail sends a confirmation email first: it shows up in the team inbox, so open it and click the link.
- Send a test email to your booking address. It appears within a minute.
Name on replies is how your company shows on emails you send from here ("Dana at Desert Laughs"). If the address ever gets spam, Make a new address and update your forwarding.
How emails arrive
Each email becomes a conversation. Replies to it join the same conversation. GigTools matches the sender to your contacts: the conversation is linked to that contact and their client or venue, and goes to whoever owns that contact or client. Every email is added to the contact's Communications history, so anyone opening the client sees it.
Work a conversation
Find things
Use Mine, Unassigned, All open and Done, or search by subject or sender. The menu shows how many are waiting on you plus how many nobody has taken yet.
Assistants can read the team inbox but can't reply, assign or add notes.
