How to send your W-9 to a client

Keep your own W-9 on file and send clients a private link to download it.

Up to date as of GigTools version 2.1.215

Clients who pay you often need your W-9 before they can pay (their accounts payable calls it "vendor setup"). Keep yours in GigTools and send it in a few clicks. Clients get a private download link, never an attachment, because the form has your tax ID. Only owners and admins can add or send it.

1. Add your W-9 (once)

  1. Open Settings › Organization and click the Client payments tab.
  2. Under Your W-9, click Upload your W-9 (PDF or photo). Fill in and sign the IRS form first (irs.gov/w9).
  3. Use View to check it, Replace when something changes, or Remove.

2. Send it

Click Send W-9 on the gig's Money section, on an invoice (under Send it), on the client's page (Your W-9), or under Your W-9 in settings. Check To, add a note if you like, and click Send W-9.

The client gets an email from "Your organization via GigTools" with a Download the W-9 button. Replies come to you. The link works for 30 days.

3. See where it went

Under Your W-9 in settings, Sent lists each email, when it was downloaded, and until when the link works. Click Turn off link to stop a link early. The client's page shows the last time you sent it to them.

Replacing or removing your W-9 changes what every link gives: links send the W-9 you have on file now.
