How to see your gigs in Apple Calendar, Google Calendar or Outlook

Subscribe to your organization's private calendar link in one tap, on any calendar app.

Up to date as of GigTools version 2.1.49

Your organization has a private calendar link with every gig on it. Subscribe once and new and changed gigs show up in your calendar on their own.

1. Create the link

Open Business › Automations in the menu. In Calendar link: Apple, Google, Outlook & others, an owner or admin clicks Create my calendar link the first time. Everyone in the organization can then use it.

2. Add it to your calendar

Click the button for the calendar you use:

  • Add to Apple Calendar: on iPhone, iPad or Mac. Your calendar app opens and asks you to subscribe.
  • Add to Google Calendar: opens Google Calendar with the link filled in. Click Add.
  • Add to Outlook: for Outlook.com and personal Microsoft accounts.
  • Outlook (work or school): for Microsoft 365 accounts.

For any other calendar app, click Copy link and add it as a subscribed (internet) calendar.

Booked gigs show as events. Leads with a date show as tentative, starting with "LEAD:".

Already sync booked gigs with Google: Gmail & Google Calendar or Microsoft: Outlook calendar? You don't need that calendar's button too. See How to connect Gmail and Google Calendar and How to put your gigs on your Outlook calendar.

How often it updates

Each calendar app checks the link on its own schedule:

  • Apple Calendar: as often as you choose in the calendar's settings (every 5 or 15 minutes, hourly, and so on).
  • Outlook: every few hours.
  • Google Calendar: up to once a day. Google decides; it can't be changed.

Keep it private

Anyone with the link can see your gig dates and places. If it gets out, an owner or admin clicks Reset link. The old link stops working, so everyone subscribes again with the new one.
