How to put your gigs on your Outlook calendar

Connect Outlook.com or Microsoft 365 and booked gigs appear on a GigTools calendar, kept up to date.

Up to date as of GigTools version 2.1.49

Connect your Microsoft account and every booked gig appears on a GigTools · your organization calendar in Outlook, on the web, your phone and your computer.

1. Connect

  1. Open Business › Automations in the menu.
  2. In Microsoft: Outlook calendar, click Connect Outlook.
  3. Choose your Microsoft account (Outlook.com, Hotmail or a work or school Microsoft 365 account) and click Accept.
  4. You come back to GigTools with "Outlook is connected."

Each person connects their own account, for the organization they're in. Some work accounts need an IT admin to approve GigTools first; Microsoft says so if yours does.

2. What it does

  • Every show of each Booked gig is added, with the place and a link back to the gig. Leads aren't added.
  • Changes in GigTools (time, place, acts) update the event within moments, and everything is checked again every hour.
  • If a gig is canceled or moved back to a lead, its events are removed.
  • Edit gigs in GigTools; changes made to these events in Outlook are overwritten.

Click Sync calendar now any time. Untick the calendar box to pause it.

What GigTools can and can't do

GigTools can only manage the calendar it creates. It can't read your email or see your other calendars. Click Disconnect to stop; you can also remove GigTools from your Microsoft account's privacy settings (Apps and services).

If the card says Needs attention, disconnect and connect again.

Rather not connect? The calendar link with Add to Outlook shows your gigs too, though Outlook only checks it every few hours. See How to see your gigs in Apple Calendar, Google Calendar or Outlook.
