How to set who brings the sound, lighting and staging

On each gig, say whether the act, the venue or client provides the sound, lights and stage (or they're not needed), and add the act's charge to the gig and invoice.

Up to date as of GigTools version 2.1.165

A gig's Sound, lights & stage card says who provides each one.

Set it on a gig

  1. On the gig, find Sound, lights & stage (or pick it under Add to this gig), then click Edit.
  2. For Sound, Lighting and Staging, pick The act, Venue or client or Not needed.
  3. When the act brings it, pick which act (if there's more than one) and type its Charge if it charges for it. Add a note if you like, like "Two wireless mics".
  4. Click Save.

Charges

  • Each charge is its own line in the gig's money (Audio, Lighting or Staging), so it adds to the gig's total and shows as its own line on the invoice.
  • When the act bringing it isn't your own act (an agency booking another act), the charge is also added to what you pay that act, as its gear fee. It shows in Owed under the act (no commission is taken from it), on the Payouts page, and on the act's bill in QuickBooks or Xero.
  • Change or clear the charge in this card and the line follows.

Suggestions

Until it's saved, the card suggests who provides each one:

  • From the act's profile: on the act's Riders card, tick what the act usually brings its own of, with a usual charge.
  • From the venue profile (Agency plan): what the venue lists for sound, lights and stage.

Check them and click Save to keep them.

Where it shows

  • The venue's advance sheet lists who brings each one (without the charges).
  • A new deal memo starts its Tech line from it.
  • Agreement templates can use the merge field {gig.production}, which lists each one with any charge.
