How to run the door: check-in, door staff and door sales

Check people in by scanning their QR codes with a phone, give volunteers a door link of their own (no account), and sell tickets at the door for cash or by card on the buyer's phone.

Up to date as of GigTools version 2.1.173

Everything at the door works from a phone. It's part of selling tickets to your own show (Member plan and up).

The door screen

On the show's Tickets page, open the Door tab and click Open the door screen (or Door on the gig's Ticket sales card).

  • Tap Scan tickets with the camera and point it at each QR code, printed or on a phone. Each ticket gets in once; it says if a ticket was already used (and by which door person), refunded, or is for another show.
  • Or search by name or ticket code, and tap Check in. Undo takes a check-in back.
  • Tick extras (a meet and greet, a drink) as you hand them over.
  • The count at the top updates for everyone at the door.

Door staff (volunteers)

Volunteers don't need a GigTools account. On the Door tab, click + Add door staff:

  • Enter their name (like "Sarah, front door") and, if you like, a 4-digit PIN.
  • Tick They can also sell tickets at the door if they'll take walk-up sales.
  • Click Make their link, then Text it, Email it or Copy link to send it.

Their link opens the door screen on their phone, with no account or app. It only works for this show and shows no money or email addresses. Each check-in is recorded under their name, so the Door tab shows who checked in how many. A link stops working the day after the show, or when you click Switch off. You can change or remove the PIN, or remove the link.

Selling at the door

On the door screen, open Sell at the door. Pick how many of each ticket type (hidden ones too) and any extras; a name and email are optional (with an email, the buyer gets their tickets and receipt).

  • Paid cash: the tickets are issued and checked in straight away. Cash sales have no GigTools fee; the money is in your cash box, so the Overview counts it apart from Stripe.
  • Card on their phone: a QR code appears. The buyer scans it with their own phone and pays on your Stripe checkout; their tickets are checked in as soon as it goes through. Cancel the sale if they change their mind.

Door sales count toward the show's capacity and the settlement sheet, and the Overview shows them as Door: cash and Door: card. Door staff can sell only if you ticked that for their link.
