How to track food and drink sales

Add each show's food and drink sales by hand or from your register's spreadsheet, see what that is per person in the door, and set a drink minimum.

Up to date as of GigTools version 2.1.189

Food & drink (in the Venue menu) keeps what each show sold at the bar and kitchen, and works out what that is per person in the door. It's part of the Venue plan.

Type in a night

On a show's gig page, the Food & drink card (after the show) has Food, Drink, Other and Tips, the number of Checks, and a note. Click Save. The card shows food and drink per person, using everyone in the door (checked in plus walk-ins).

From your register's spreadsheet

Export a sales report by day from your register (Toast, Square, Clover or any other) as a spreadsheet (CSV). It needs a Date column and a Food or Drink column; Room, Other, Tips and Checks are used too. On Food & drink, pick the file under Add sales from your register (or paste the rows) and click Add the sales. Each night's sales go on that night's show. With two shows in a night (in the same room), they're split by how many people came to each. Adding the same night again replaces it.

A direct connection to Square and Toast is coming. Until then, the spreadsheet is the quick way.

The last 30 days

The page lists the last 30 days of shows with their food, drink, people in the door and per person.

Drink minimum

On a show's Tickets page, under Sale settings, pick a Drink minimum (1 to 4 items per person) and add a line about it if you like ("Food, drinks and soft drinks all count"). Buyers see it with the tickets, at checkout and on their tickets. On Extras & codes, + Add a prepaid drink credit adds a ready-made extra buyers can pay for with their tickets.
