How to schedule your staff

Add your door, bar, servers, tech and hosts, put them on shifts for each show, catch double-bookings, see the staff cost, and send everyone their schedule.

Up to date as of GigTools version 2.1.189

Staff & shifts (in the Venue menu) is a week of your shows with who's working each one. It's part of the Venue plan.

Add your staff

Click Staff on the Shifts page, then + Add someone: their name, email (for their schedule), phone, the jobs they do (door, bar, server, tech, host, manager, kitchen, security) and, if you like, an Hourly rate for the staff cost. Untick Still working here when someone leaves; their past shifts stay.

Put people on shifts

Each show in the week has its shifts. Click Add the usual crew to add your usual shifts for a show in one go (set what the usual crew is, and how many minutes before doors they start and after the show they end, under The usual crew for a show). Or add one shift at a time with the job, the times, a section (the tables a server covers) and a note. Pick Who works this shift from the list; people who do that job are listed first. A shift with nobody on it shows as Open shift.

If someone is on two shifts at the same time, both show Double-booked. Shifts not tied to a show (a private event setup, a cleaning day) go under Other shifts.

Their schedule

Each person has their own link to their shifts for the next 60 days; no account needed. Copy it from Staff, or click Email everyone their shifts on the Shifts page to send each person with an email address their shifts for that week, with the link.

Staff cost

With hourly rates, the week shows the staff cost for each show, and Venue reports takes it into account.
